Description

The Executive Assistant (EA) will be a key-member of the Economic Development (EDD) staff, providing high level administrative support to the Director and Deputy Director, handling external requests and communications with senior officials scheduling virtual and in person meetings. The Executive Assistant will be relied upon to help coordinate and assist in all EDD related activities and will pay an integral role in the success of the team. In addition, this position has the responsibility for the development, implementation, and compliance monitoring with departmental policies. The EA will also provide similar support services for the Wayne County Land Bank, the Community Development Division, Economic Vitality Division, and the Building Division as needed.

Required Tasks

  • Providing administrative support for Department Director and Deputy Department Director, generating a variety of documents and reports, and composing correspondence on their behalf.
  • Creating reports on system-wide caseload statistics and individual attorney statistics to measure performance.
  • Within special administrative functions, organizing and planning workflow including establishing workflow priorities and proposing or revising procedures to eliminate conflict or duplication.
  • Shepherding of contracts through the County's Executive internal approval processes, including from Procurement through Wayne County Commission approval.
  • Establishing and maintaining an office filing system including handling of confidential materials.
  • Performing backup duties for the EDD Fiscal Manager and other administrative positions.
  • Developing and maintaining internal operating procedures.
  • Providing direction and/or supervision of administrative personnel
  • Monitoring payment process of invoices from outside service providers and vendors.
  • Entering requisitions, vouchers, and assist with journal entries.
  • Interacting with public and private officials, and departmental organizations including other governmental agencies and vendors.
  • Performing other duties as assigned.

Educational/Experience Requirements

  • A high school diploma and five (5) years of administrative/clerical experience, preferably supporting senior or executive management; OR
  • An Associate Degree from an accredited college and two (2) years of administrative/clerical experience preferably supporting senior or executive management, OR
  • A Bachelor Degree and 1 year of clerical/administrative experience, preferably supporting senior or executive management.
